Custom Gear Quote: What Information to Prepare Before You Ask

The checklist for a faster, more accurate custom gear quotation: drawings, materials, heat treatment, quantity, tolerances and inspection needs.

A custom gear quote is only as good as the information behind it. Suppliers can work with partial details, but every missing item means assumptions, and assumptions mean either a wider price range or a longer quoting cycle. Preparing the key information in advance gets you a faster, tighter and more comparable quotation from any supplier, and it usually avoids an extra round of clarification emails.

The most important item is the drawing. A PDF of the gear drawing with the module, number of teeth, pressure angle, helix angle, bore and keyway is the fastest path to an accurate quote. If you do not have a drawing, a sample gear, a worn part, or even a set of measurements and photos can be enough, because a capable manufacturer can reverse-engineer the geometry and confirm it back to you.

Next come material and heat treatment. State the material grade you need, or the application requirements such as load, speed and environment, so the supplier can recommend a grade. If the gear must be hardened, specify the surface and core hardness range and the case depth. Material and treatment often drive a large share of the cost, so being clear here prevents price surprises later.

Quantity and lead time shape the quote as much as the geometry. A one-off sample and a batch of five hundred are priced very differently because tooling and setup are amortized over the quantity. State the target quantity, whether this is a sample or a production run, and your required delivery date. If you are still in development, ask for separate sample and production pricing.

Tolerances and inspection requirements should be explicit. If the gear must meet a DIN or ISO accuracy grade, name the grade. If a measurement report or material certificate is required, say so, because inspection time and documentation affect cost. A clear specification also protects you: the supplier quotes to the standard you name, and you can verify compliance at delivery.

Finally, include application context. What does the gear drive, at what speed and torque, and how many hours per day? This context lets the supplier flag risks such as inadequate tooth strength, lubrication needs or noise concerns before production starts. A complete inquiry does not just get you a price; it gets you the right gear the first time.
